Participation Terms – Disc In Camp

1. Purpose
These terms govern registration, participation, and the organization of the Disc In Camp (the “Camp”). Registration implies full acceptance of these terms without reservation.
2. What the registration fee covers
The registration fee includes:
- participant accommodation with full board (breakfast, lunch, dinner)
- access to fields and theory rooms
- accommodation and full board for coaches and staff, shared across all players
- social activities organized during the Camp
- general event logistics
Transportation to and from the Camp, personal expenses, and individual insurance are not included.
3. Payment terms
Payment is made in two stages:
- an initial payment at registration
- a remaining balance requested at a later stage
This system allows the organizer to actively seek sponsors in order to reduce the final cost of the Camp. The objective is to minimize the amount remaining to be paid by participants. The second payment may therefore be lower than the theoretical remaining balance.
Registration is only confirmed after receipt of the first payment.
If the remaining balance is not paid by the deadline communicated by the organizer, the participant loses their reserved spot and is considered to have cancelled their participation. The initial payment is non-refundable and retained as compensation for the reserved place and organizational costs.
A participant who fails to complete payment is not authorized to attend the Camp.
A no-show (failure to attend without prior cancellation) is treated as a late cancellation and does not give rise to any refund.
4. Participation requirements
To participate in the Camp, the following conditions must be met:
- being a member of Chimera ASD, the Italian association organizing the Camp
(membership information: www.chimerasd.com) - being at least 18 years old
or, for participants aged 16–18, providing written authorization from a legal guardian (subject to organizer approval) - being physically fit to practice intensive sport
or holding medical approval in case of health issues
Participants declare that they take part under their own responsibility regarding their physical condition.
5. Cancellation, late arrival and early departure
Any cancellation must be communicated in writing to: camp@discin.eu
The date of email receipt is considered the official cancellation date.
Refunds depend on the cancellation date:
- full refund: cancellation on or before April 15 (included)
- partial refund (50%): on or before May 15 (included)
- partial refund (25%): on or before June 15 (included)
- no refund: after June 15
Exceptions may be granted in extreme circumstances (e.g. death of a close relative, major justified obligations). Any exceptional request must be submitted in writing with supporting documentation. The organizer reserves the right to evaluate each case individually.
In case of late arrival or voluntary early departure, no refund is guaranteed. A case-by-case evaluation may be made depending on the reason.
A participant who does not attend the Camp without prior notice is considered a no-show and is not entitled to any refund.
6. Liability, insurance and medical matters
Participants acknowledge that they are engaging in a sport involving inherent risks.
The organizer declines all responsibility for loss, theft, or damage to personal belongings. Personal insurance is strongly recommended.
Regarding bodily accidents during the event:
- either the event is covered by collective insurance (to be confirmed by the organizer)
- or each participant is responsible for their own accident coverage
Each participant must ensure they are covered by valid health and accident insurance abroad.
In the event of a medical emergency, participants authorize the organizer to take any necessary action for their care (emergency services, medical transport, urgent treatment).
Participants must honestly declare any relevant medical information, including allergies, special dietary requirements, or health conditions that may impact their safety or the safety of others.
7. Conduct, alcohol and safety
Participants must behave respectfully toward:
- other players
- staff members
- facilities
- rules of the sports complex
Alcohol consumption is permitted only in a moderate and responsible manner. Alcohol sold on site is authorized. Glass bottles are prohibited within the sports complex. Personal alcohol brought from outside is not allowed.
Drug consumption is strictly prohibited.
The organizer is not responsible for private activities undertaken by participants outside the official Camp program.
The organizer reserves the right to exclude any participant who endangers group safety or seriously disrupts the Camp, without obligation of refund.
8. Accommodation rules and property damage
Participants must comply with the rules of the accommodation and sports complex (schedules, cleanliness, equipment, neighborhood respect).
Participants are personally liable for any material damage they cause, whether intentional or due to negligence, to facilities, accommodation, equipment, or third-party property. The organizer reserves the right to claim financial compensation corresponding to repair, replacement, cleaning, or administrative costs resulting from such damage.
9. Program, weather and camp maintenance
The organizer reserves the right to modify the schedule, program, coaches, or certain activities due to logistical needs, weather conditions, or force majeure, without entitlement to refund.
Training sessions are maintained in bad weather unless conditions present a safety risk.
The Camp requires a minimum of 70 participants. If this threshold is not reached, the organizer reserves the right to cancel the event and propose either a refund or postponement.
10. Personal data and image rights
By registering, participants grant the Disc In Camp crew a non-exclusive authorization to use their name, image, photos and videos captured during the Camp for communication related to the event and the Disc In Project.
This authorization is:
- valid worldwide
- unlimited in time
- granted without financial compensation
Participants acknowledge that images may be used on websites, social media, promotional material, and future communication related to the Camp or the project.
Participants also accept:
- possible appearance in images taken by other participants
- the transmission of necessary medical information (e.g. allergies) to medical staff in case of emergency
- the sharing of logistical information required by the SportSchule Duisburg complex
Data is used solely for the organization and communication of the Camp.
11. Force majeure
The organizer cannot be held responsible in the event of cancellation or modification of the Camp due to force majeure (natural disaster, administrative decision, health crisis, conflict, etc.).
In such cases, the organizer will attempt to propose a postponement or fair solution, without guarantee of full reimbursement.
